Student Policy at Al-Qalam Academy: Ensuring a Successful Learning Experience

To ensure a successful learning experience, we have established a comprehensive student policy that covers various aspects of our courses. This policy outlines guidelines for attendance, absences, teacher-student relationship, tuition, holidays, privacy, and more. By adhering to these policies, both students and teachers can create a conducive learning environment. Be On Time

* We expect our students to be in the virtual classroom at least 2 minutes before the scheduled class start-time, fully prepared with all the necessary materials. 

* Our teachers are committed to starting the class promptly, and if a student is not present, the teacher will wait for 3 minutes before sending a reminder. 

* If the student fails to join the class within the first 15 minutes, it will be marked as an unexcused absence, and the class will not be rescheduled. It is essential for students to prioritize their attendance and be punctual so that they don’t miss out on valuable learning opportunities.

Absences: Excused and Unexcused

While we understand that unforeseen circumstances may arise, we have specific guidelines for excused and unexcused absences. 

* If a student needs to miss and reschedule a class, a 12-hour notice should be provided to our support team at support@alqalamacademy.net

* Excused absences include situations such as illness, death in the family, work/school conflicts, and technical issues. 

* The number of excused hours permitted varies based on the monthly hours of enrollment. However, it is important to note that there are no refunds for any type of absence.

* On the other hand, unexcused absences do not qualify for rescheduling or refunds. It is crucial for students to inform us in advance about any planned absences and follow the necessary procedures to avoid any inconvenience.

Teacher Absences and Substitutes

We understand that unforeseen circumstances can also affect our teachers, leading to class cancellations. 

* In such cases, we ensure that a substitute teacher is assigned to teach the missed lesson. 

* If a teacher misses a class without a substitute filling in, a makeup lesson will be scheduled within one week at the student’s convenience, at no additional cost.

Student Support Team

We understand that students may have questions or need advice regarding their course plans, levels, or customization options. Our dedicated student support team is available to assist students and provide guidance. Tuition Policy

To provide seamless access to our courses, we have established a transparent tuition policy. 

* Tuition fees are billed once every 4 weeks at the beginning of the billing period or in advance. 

* We offer two payment methods: Monthly Subscription and Month over Month. 

* With Monthly Subscription, your classes will be automatically scheduled for a month based on your payment date. 

* For Month over Month, you need to manually maintain your payment schedule, ensuring payment within three days after your last class to avoid losing your schedule.

* It is important to note that there are no refunds for missed classes, whether excused or unexcused. However, we do offer makeup classes as per the terms mentioned earlier. 

* If a student decides to stop classes and has auto-payments enabled, it is essential to stop the auto-payments in the PayPal account. 

* All tuition fees are paid through Al-Qalam’s accounts, and we do not accept payments through any other means or accounts.

Note: Al-Qalam Academy reserves the right to periodic tuition fees increases for all students who are enrolled

We are confident in the quality of our courses and strive to provide the best learning experience to our students. To ensure their satisfaction, we offer a 100% Money Back Guarantee. If a student cancels their course within the first week of classes, they are eligible for a refund. However, after the first week, no refunds will be provided for classes already taken.

Class Quality and Privacy Policy

At Al-Qalam Academy, we are committed to maintaining high-class quality and ensuring the privacy of our students. To monitor the quality of our classes, some lessons may be recorded for review by our support team. These recordings are strictly for internal use and to assess the teaching standards and the overall learning experience. However, students are not allowed to record sessions, whether audio or video, to protect the privacy of our teachers.

We value the privacy of our students and have strict policies in place to safeguard their personal information. We do not share or sell any student information to third parties. It is the student’s responsibility to update the support team regarding any changes to their profile, such as email address, billing address, phone number. Students are also advised not to share personal information or accounts with teachers or staff members, except when communicating through our official support@alqalamacademy.net email.

Holidays and Concerning Your Classes

At Al-Qalam Academy, we strive to provide continuous learning opportunities. We observe two significant holidays, Eid Ul-Fitr and Eid Ul-Adha, during which the academy will be closed for three days each. 

* Tuition fees will not be credited or refunded for these holidays. 

* However, we continue classes through other Western and non-Islamic holidays. 

* If a student needs time off for other holidays, they should notify the support team at least 12 hours in advance to reschedule up to 2 lessons. 

We believe in maintaining a consistent learning schedule while respecting the cultural diversity of our students.

Giving Gifts to Teachers and Complaints Policy

We understand that students may want to express their gratitude to their teachers through gifts. 

* However, due to logistical challenges and potential risks involved in sending physical gifts to Egypt, we can only accept monetary gifts. 

* Monetary gifts can be sent through money orders or e-transfers to support@alqalamacademy.net

* It is crucial to specify the teacher’s name so that the gift reaches the intended recipient. 

* Unfortunately, we cannot accept physical gifts for forwarding to teachers.

* We take student complaints seriously and aim to address them promptly. If a student is dissatisfied with any aspect of their course, they should contact our support team at support@alqalamacademy.net. We appreciate feedback and strive to resolve any issues efficiently, ensuring a positive learning experience for all our students.
